This notice addresses information handled through this shared website for Quick Development Baseball Players Inc (baseball/facility services) and QDBP ACADEMY, LLC (Academy services). Each Business handles information relevant to its services and applicable agreements. Registration does not enroll a player in the Academy. Shared administration does not make client records public.
QDBP Academy app and Gmail
The app requests Gmail sending permission and email-identity permission, limited to quickdbpacademy@gmail.com. It does not request inbox-reading permission. It stores an encrypted connection token, connection details, billing drafts and sending records on OpenAI Sites infrastructure. Google processes messages for sending; intended recipients receive their contents. Connecting Gmail does not send an email. You may revoke access through your Google Account. Revocation does not delete saved records or previously sent messages. Existing retention and request provisions apply; contact quickdbpacademy@gmail.com for access, correction or deletion requests.
Information collected
Sign in with ChatGPT supplies your account identifier and available name and email. Registration records include the participant’s name, parent or guardian information when applicable, contact details, up to two optional emergency contacts, medical conditions, allergies and medications, primary physician, insurance carrier and insurance policy number. Consent records contain the selected service, acknowledgements, initials, typed signature, mandatory media and transportation authorizations, document version, signing time and a snapshot of the information accepted. The website also records first-party page views using a random browser session identifier, page path, referring website domain, general device category and time. It does not store a visitor’s raw IP address in the analytics table. The website maintains security rate-limit counters; hosting and authentication providers may process technical request information under their own policies.
Purpose and access
Information supports registration, consent records, parent access, safety administration, responding to requests and preventing misuse. Parents can access their own records. The authorized site owner can review records across this website. Further staff access or sharing between the Businesses must be limited to authorized service, safety, administration or legal purposes. Registration is not blanket permission for unrelated sharing.
Children, health information and emergency contacts
This registration flow is intended for adult participants booking for themselves and for adult parents or natural guardians registering a minor; it is not intended for independent child accounts. Provide only the medical, medication and insurance information needed for participation and emergency response, and do not upload medical documents. Provide information only when authorized and inform emergency contacts that you supplied their details. Contact the appropriate Business about information submitted without authority.
Hosting and external providers
The website uses Sites hosting, Cloudflare-backed storage and ChatGPT sign-in. Providers process information necessary to deliver their services under applicable arrangements and their own policies. Acuity Scheduling manages appointments and connected payment providers manage payments when you use those external services. This website does not collect card numbers or Acuity passwords. The website retrieves appointment details from Acuity and reconciles eligible bookings with saved participation records when the account schedule is refreshed. Signed waiver copies remain stored on this website; they are not uploaded into Acuity. Authorized management can review client records and manage appointments. The external merchandise store has its own checkout and privacy practices.
Display preferences
If you use the display and accessibility controls, this browser stores your selected text size, spacing, contrast, font, link and motion preferences so they can apply on later visits. These preferences stay until you reset them or clear browser storage. They are not sent to our server and do not identify a disability.
Optional AI help
Client help sends your question and a short recent conversation history to OpenAI to generate an answer. Player profiles, waivers and booking records are not attached. The chat does not make account changes. Conversation text stays in browser memory and can be cleared; this website does not save chat transcripts. API response storage is disabled, but OpenAI may process and retain data under its applicable policies. Do not enter private player, medical, payment or credential information. You can contact the team directly instead.
Media, transportation and communications
The Facility participation flow requires express media permission and transportation authorization before continuation. Read the separate releases for permitted photographs, recordings, publication, use and transportation-related activities; this notice itself does not grant those permissions. Registration and service messages are distinct from marketing consent. Future advertising, tracking or additional data uses must be reviewed and reflected in this notice before activation.
Retention and your requests
You can update registration details and download saved acknowledgements. Profile updates do not rewrite historical consent records. Each Business retains information only for as long as reasonably necessary for the purposes described in this notice, including providing services, administering player safety, maintaining payment or business records, resolving disputes, enforcing agreements, preventing misuse and meeting legal obligations. Retention can differ by record type. Information that is no longer reasonably necessary will be deleted, de-identified or securely disposed of when practicable, subject to required legal holds and lawful recordkeeping needs. Contact the relevant Business to request access, correction or deletion. Identity and authority may need verification, and lawful retention or evidentiary requirements may limit deletion. Expiration of a participation period does not automatically erase the historical signed agreement or its associated proof.
Security and changes
Authenticated access, ownership checks and restricted administration help protect records. No online service can guarantee absolute security. Report suspected misuse to the appropriate Business. This notice does not waive privacy rights or release either Business from its legal responsibilities. Material changes require an updated notice and any consent required by applicable law.
